Registration and Payment Terms and Conditions

Note: Special conditions may apply instead of or in addition to these general conditions for the specific event for which you are registering. Where applicable, such conditions are announced on the event website. Where such conditions contradict these general conditions, the special conditions take precedence.


  1. Registration must be cancelled by sending an e-mail message to GÉANT Association, clearly stating your name and which event you are referring to.
  2. Registrations cancelled up to 10 working days before the event will be refunded (less 25 euro handling charge and any bank charges incurred)
  3. Cancellations made on or after this time will not be refunded.
  4. Substitutions may be made at any time. If you wish to substitute a delegate, please contact GÉANT Association at the earliest opportunity.
  5. All refunds will be made after the event and within two calendar months.

We recommend taking out appropriate travel and cancellation insurance for your registration fee, hotel and airline booking. This is often included with credit card transactions, but check your own policy for details. Please also ensure that you have appropriate health insurance coverage. Please check beforehand if you need a visa for the country where the event is held and inform yourself about the visa application procedures and the time needed for processing a visa application.


GÉANT Association accepts payment via direct Bank Transfer, Bankers Draft, Credit Cards and cash only.

Bank Transfer

Payments may be made by bank transfer up until 10 working days prior to the date of the event. Please ensure your payment includes all bank charges. Payments should be made to:

Bankers Draft

Payment can be made with a bankers draft, this must be sent by registered post to arrive at least 10 working days before the event. A confirmation of receipt of payment will be sent by email or, if preferred and a suitable address is provided, by post. GÉANT Association accepts no responsibility what-so-ever for any such documents lost in the post.

Credit Cards

Payments may be made by credit card up until 5 working days prior to the date of the event. Please carefully fill in the number of your card, the expiry date and the three or four digit security code (CVC) on the back of the card on the signature strip (American Express sometimes has this number on the front of the card). Please include the name of the credit card holder as it is written on the card.

No credit card details will be stored on the GÉANT Association servers, all payment details are passed to the credit card handler in real-time.


While we do not recommend it, under certain circumstances GÉANT Association can accept cash payments on site. If you need to pay in cash, please to contact the organiser of the event beforehand. We strongly advise you not to send cash through the post; GÉANT Association accepts no responsibility what-so-ever for any loss incurred in such cases.

Note that you are at risk of losing your place at the event in the case of late payment. GÉANT Association reserves the right to refuse registration of any individual to any future workshops, meetings, task forces or conferences arranged by GÉANT Association if a registration fee remains unpaid.

If your organisation requires an invoice in advance, an invoice for several participants, or if you have any other special requirements, please contact GÉANT Association to give us details of your requirements.

Personal Information

GÉANT Association stores personal information in an electronic database. The information in this database is used only by the GÉANT Association. It is never given out or sold to third parties, except where required by law.

A list of registered participants may be provided, either on the website or on paper. Such lists are provided as a service for attendees, offering a convenient way to network with colleagues. This information is not intended for sale, to be used for data mining, storing into other databases, or any other similar uses.

Any person who attends a GÉANT Association events grants permission to GÉANT Association to use and publish his or her image or likeness collected in connection with the event for any usual and customary purpose of GÉANT Association, including promotion of GÉANT Association and its events. In addition, any person sending photographs to GÉANT Association taken at GÉANT Association events or using facilities provided by GÉANT Association for uploading photographs grants permission to GÉANT Association to use such photographs, provided that the photographer is credited. If you object to this, please do so explicitly in writing or by e-mail to GÉANT Association.
